A Subject Access Request (SAR) is a written request made by, or on behalf of an individual to a company or organisation, asking for access to the personal information it holds on them under the Data Protection Act (1998).
For students, this means they can obtain information about their results from their school/college or examination board.
View the FAQs below for further information.
A SAR can be submitted by an individual, or on behalf of an individual. If the request is from a third party on behalf of an individual, named and signed written consent must be provided.
Yes, however, we require their written consent. Please complete the SAR form. Please attach written consent from the individual, proof of identification, including signature for verification purposes from the third party.
By law, we need to check who you are. Please complete the SAR form. You must attach the following:
No, you just need to make sure the copy can be read easily.
ID checks are required for security – they are part of our measures to protect your personal data from unauthorised access. If we ask you for proof of ID, the 30-day time limit for a SAR begins from the day we receive your ID.
We have 30 days to respond from the date we receive your proof of ID.
There is no fee to make a SAR. However, we reserve the right to charge a 'reasonable fee' where a request is excessive or repetitive. We will assess these on a case-by-case basis.
We will send the information by email.
No. You are not entitled to receive full copies of original documents held by Cambridge – only your personal information contained in the document.
Please note, if you are requesting results information, that any information we share under a data subject access request would not be an official copy of your results. If you do require an official copy, for example to provide to a University or employer, we recommend you request a Certifying Statement, if you no longer have receipt of your certificate.
No, we will send details of your request to you, which you can forward on as necessary.
More information can be found on the Information Commissioner’s website.
Complete the form below to submit a subject access request. If you are unable to complete this form, please contact us and include all relevant information so we are able to process your request.
